Medical tourism pipeline template
A ready-made list of stages for a medical tourism team, from the first contact to the patient’s return home. Copy it into your own tool, or use it as it is in CRM Boost.
| # | Stage | When a patient is here | Next step |
|---|---|---|---|
| 1 | New | The request has just arrived, with its source and campaign. | First message, in the patient’s language, within minutes. |
| 2 | First message sent | The greeting has gone out on WhatsApp. | Wait for the reply, then ask the treatment, the budget and the travel date. |
| 3 | Not reached, day 1 | No reply after the first message. | First follow-up. |
| 4 | Not reached, day 3 | Still no reply. | Second follow-up. |
| 5 | Cold leads | The follow-up sequence has ended without a reply. | Decide a re-contact rule for later. Never mark a lead lost after one message. |
| 6 | Qualified (hot) | The patient replied: treatment, budget and dates are clear. | A coordinator takes over and calls. |
| 7 | Medical file | The patient sent photos, X-rays or test results. | The doctor reviews the file. |
| 8 | Quote sent | The treatment plan and the price were sent. | Follow-up with a date set in advance. |
| 9 | Won | The patient accepted and the trip is booked. | Organise the stay. |
| 10 | The stay | Airport arrival, programme, transport, accommodation, first consultation, clinic, departure. | One step after another, each with an owner. |
| 11 | After-care | The patient is back home. | Follow-up message, then a review request. |
Two rules that keep a pipeline clean
- One owner per patient: every patient has one coordinator.
- One next step with a date: a patient without a next step is a forgotten patient.
